Arcana Fit Inc. (“Arcana,” “we,” “us,” or “our”) operates the Arcana waitlist, website, and mobile applications. This policy explains what information we collect, why we collect it, and the control you have over it.
Who we are

What we collect
We collect only what we need to run Arcana and provide our service.
When you join our waitlist:
- Your name
- Your email address
- Your fitness interests: the studios and categories of training you tell us you care about
When you create an account and use our apps:
- Account information: your name, address, email address, password, phone number, age, and gender
- Membership details: your membership tier and credit balance
- Reservations and activity: the classes you reserve, the studios and instructors you book, the dates and times, and your attendance and cancellation history
- Payment and billing information: when you become a paying member, the information needed to process your payments. Card details are handled by our payment processor; we do not store full card numbers ourselves.
Automatically, when you use our website or apps:
- Device and technical information: such as device type, operating system version, app version, and general location inferred from your IP address, used for security, compatibility, and to understand how Arcana is used
- Push notification tokens: if you enable notifications, so we can send you reservation and account updates
We do not use your information for third-party advertising, and we do not track you across unaffiliated websites.
Cookies, analytics, and session recording
On our website, we and our analytics provider use cookies and similar technologies (such as local storage) to understand how Arcana is used and to improve it. This is first-party product analytics. We do not use it for third-party advertising.
This includes automatically capturing interactions such as the pages you view and the links you click, and recording session replays of how visitors move through the site so we can find and fix problems. We mask form inputs in these recordings, so what you type into fields is not captured.
You can limit cookies through your browser settings, and where required by law we honor recognized browser opt-out signals such as Global Privacy Control (GPC). Disabling cookies may affect how parts of the site work.
Why we use it
We use your information to:
- Manage your place on the Arcana waitlist and notify you when memberships become available
- Provide the service: let you browse classes, make and manage reservations, and manage your membership
- Process your payments
- Send you service messages about your account and reservations, and updates about Arcana
- Understand which studios and training categories our members want, so we can build the right network of studios
- Analyze how our members use Arcana, including class attendance and preferences, in aggregated and de-identified form, to improve the product and inform our business
- Respond to you when you reach out
You can opt out of promotional emails at any time using the unsubscribe link. We may still send you essential service messages, such as booking confirmations and account notices.
How we store and protect it
Access to your personal information is limited to Arcana’s founders and the service providers who help us run the platform. We maintain reasonable administrative and technical safeguards designed to protect it, including access controls and encryption in transit and at rest. No method of transmission or storage is completely secure, but we work to protect your information and limit access to those who need it.
Who we share it with
We do not sell the personal information you give us, and we do not rent or trade it.
We share personal information only as needed to operate Arcana:
- With studios: acting on your behalf, we share the information the studio needs to provide your class, such as your name and reservation details, including to create or manage an account or profile for you and to complete any waivers or agreements the studio requires
- With service providers: for example, our hosting, payment, email, and analytics providers, who may process your information only on our behalf
- In a business transfer: if Arcana is involved in a merger, acquisition, financing, reorganization, or sale of assets, your information may be transferred as part of that transaction; any successor will be required to honor this policy
- As required by law: to protect the rights, safety, or property of Arcana or others
We may also create aggregated or de-identified insights, such as overall trends in class attendance and preferences, that do not identify you personally. We use these to improve Arcana and to decide which studios to add to the network.
Where we hold de-identified information, we commit to maintaining and using it in de-identified form, and we will not attempt to re-identify it, except as permitted by law.
How long we keep it
We keep your information for as long as you remain on the waitlist or hold an account, or until you ask us to remove it. If you ask us to delete your information, we will do so, except where we are required to retain it by law.
Your choices
You may, at any time:
- Access or update your account information within the app
- Unsubscribe from promotional emails using the link in any message
- Request a copy of the information we hold about you
- Delete your account directly in the app, from your account settings. This deletes your account and associated data. You can also email us to correct, delete, or close your account.
- Turn off push notifications in your device settings at any time
To exercise any of these, email founders@arcana.fit and we will respond within a reasonable time.
Children
Arcana is not directed to anyone under 18, and we do not knowingly collect information from children. If you believe a child has given us their information, contact us and we will remove it.
Changes to this policy
We may update this policy as Arcana evolves. When we do, we will revise the “Last updated” date above. Material changes will be communicated by email or in our apps. By continuing to use Arcana after an update takes effect, you agree to the revised policy.
